Reservations  |  Guest Policies  |  Minimum Property Amenities & Standards


RESERVATIONS

Scenic Chalets requires a non-refundable reservation deposit of 30% of the total rental cost including taxes, or a minimum of 1 night's accommodation, whichever is greater. Reservation deposits are due at the time of booking. If paying by certified check, money order, or wire transfer, the funds must be received or in our account within 3 working days. Reservations are not confirmed until the deposit or full payment has been made.

Final payment is due 30 days prior to the first day of arrival. If the Balance Due funds are not received by the due date on the guest's reservation confirmation, Scenic Chalets will assume the reservation has been cancelled and is subject to the fees outlined in the Cancellation Policy.

Reservations made 45 days or less prior to first day of arrival are due in full at time of booking.

Damage Deposits are refundable within 15 working days of the guest's departure (not counting holidays). The damage deposit varies from property to property and is posted on each Scenic Chalets property-listing page.

  • The pre-authorized Damage Deposit is used for additional charges such as lost keys charged at $100.00 (for owner's to re-key the unit); lost parking remotes; long distance charges; extra cleaning where applicable (billed at 20.00 hr); broken, damaged or lost
    items; and damage to the property. Guests - Upon arrival, be sure to immediately notify Scenic Chalets or owners of any suspicious damage or broken items to avoid being charged.
  • For guests paying by credit card, the damage deposit is collected within 3 days of arrival,
    not counting holidays.
  • For guests paying by check, bank draft or wire transfer, the damage deposit is collected
    with the final payment.
  • Guests are responsible for extra charges incurred over and above the damage deposit collected.
  • Guests authorize Scenic Chalets to attach any additional charges to their pre-authorized credit card.

Cancellation Policy

  • Guests have a grace period of 48 hours to cancel a reservation with a full refund less
    $50.00 administration costs. After 48 hours the reservation deposit is non-refundable.
  • For reservations made 30 days or less prior to arrival and cancelled within 48 hours the administration fee is $100.00.
  • After the 48 hr grace period: Cancellations received in writing 31 days or more prior to
    arrival are subject to a refund less the 30% reservation deposit.
  • After the 48 hr grace period: Cancellations received in writing less than 31 days prior to
    arrival are subject to forfeiture of all monies paid. If the unit can be rebooked, the canceling guest will be refunded all monies paid less the 30% reservation deposit. We always do our best to rebook a unit.

Modifications

  • Modifications to a reservation are not charged if made within 48 hours of the initial booking.
  • Modifications made to an existing booking after 48 hours are charged at $50.00 when there
    is no reduction in nights.
  • Modifications requiring a reduction in nights are considered a cancellation and are subject
    to cancellation fees as explained above.

Substitutions  In the case of fire or other types of damage to a property, the sale of a property, or similar events beyond the control of Scenic Chalets, we will do our best to substitute another property of equal value. We provide written confirmation of a substitution. If no other property is available we will immediately refund all monies paid. Scenic Chalets works with other vacation rental agents to ensure we do our very best to supply suitable accommodations for our guests.

Rates  Rates are subject to change. Once a property is booked, the quoted rental fees are honored.

Disclaimer  Scenic Chalets, owners, and agents will not be held responsible or liable for any claims, damages, losses, injuries, delays or loss of enjoyment due to weather related problems, strikes, lock outs or other labor disputes or restraints caused by the government, or other circumstances beyond our or a supplier's reasonable control.


GUEST POLICIES  [ Go to Top ]

Check In  Check-in is 4:00 pm. Sometimes early check-ins can be arranged as long as the unit is ready and the owners are agreeable. No check-ins prior to 12:00 pm.

Check Out  Check-out is at 11:00 a.m. sharp unless pre arranged. Sometimes late check-out can be arranged as long as the unit is not rented and the owners are agreeable.

Big White, Kelowna, Lake Okanagan and Calabogie Lake:  We must charge 20.00 per man-hour for unscheduled late check outs as the cleaning staff is standing by.

Number In Party  Guests are under contract with Scenic Chalets and the owner of the property to allow only the number of persons in the unit as indicated on the rental agreement. Each property has a guest capacity limit posted on the website and in the Guest Information Guide. Absolutely no other persons are allowed to lodge in, sleep over, or use the facilities for extended periods of time other than brief visits. Renters found to be in violation of the maximum guests allowed will be asked to depart immediately, forfeiting all funds paid.

No Smoking and No Pets  Absolutely no smoking and no pets are allowed in Scenic Chalet properties. Guests found to be in violation will be evicted immediately, forfeiting all funds paid, and may be charged extra cleaning fees. The exception is the few properties that allow smoking by express permission of the owners. There is no exception to having pets in the units.

Owner Lock-Up  We ask all guests and their children to respect the rooms, closets or areas that may be locked and identified as belonging to the owners and for owner use only. Do not attempt to jiggle locked doorknobs or in any way attempt to gain entrance to locked owner areas. Guest renters will be notified of any owner lockup.

Zero Tolerance Policy  Scenic Chalets has a Zero Tolerance Policy for stags, excessive noise and insulting behavior. Upon receipt of a complaint Scenic Chalets and/or the property owners have the right to evict immediately any guest or group. A second complaint is grounds for immediate eviction. All monies paid are considered earned and are non refundable.

Please be considerate of your friends and neighbors. At the ski hills many guests are avid skiers and like to rise early for a full day of skiing and boarding. In the warmer months, sound carries on lakes and rivers, especially at night. Please, no excessive loud noises or music that may disturb the people around you.

Guest Responsibilities  Scenic Chalets rents to families and mature adult groups. We ask all guests to take care of and respect the vacation home you are renting. Conscientious owners have put a lot of work into their property to make it clean, comfortable and attractive for you. Be sure everyone in your group reads the Guest Information Guide and understands the rules and the nature of the property. We ask that adults explain the rules to children in the group. Please report immediately any lost or broken items or any damage.

Our goal is for everyone to have an enjoyable and safe vacation.

Departure Clean Upon departure guests are responsible for washing all dishes, disposing of and taking all garbage to the proper refuse and recycling location as explained in the Guest Information Guide; removing all food items from the refrigerator and cupboards; placing all dirty towels in bathtubs or on bathroom floor; and doing a general tidy up. If guests choose not to comply with the departure tasks and/or if there is excessive cleaning the appropriate fees will be deducted from the damage deposit. The hourly rate is 20.00.

Notice of Contract Between Scenic Chalets and Guests
A confirmed reservation sent by email or fax to the booking-guest includes a copy of the Scenic Chalets Rental and Guest Policy Agreement. Guests have 48 hours to notify us with any concerns. After 48 hours it will be understood the guest making the reservation has read this document and agrees to the above mentioned.

Thank you for booking your holiday with Scenic Chalets. We will do our best to ensure the accommodations you rent meet your expectations and compliment the vacation you have planned.


MINIMUM PROPERTY AMENITIES AND STANDARDS  [ Go to Top ]

Guest Renters can expect the following:

  1. Two sets of keys or keyless entry code.
  2. Emergency phone numbers posted.
  3. Clean accommodations, hotel standard.
  4. At least one fire extinguisher per floor, with one in the kitchen.
  5. At least one smoke detector per floor.
  6. Sufficient amount of kitchen and bath towels (2x per person).
  7. Linens and bedding in good to excellent condition. Minimum one pillow and one blanket
    per person. Clean bed coverings, in good to excellent condition.
  8. Bathrooms and toilets in working order. No broken faucets, fixtures or missing parts.
  9. Window Coverings.
  10. Running water, clean and drinkable.
  11. Electricity, Phones and Plumbing in good to excellent working order.
  12. Sufficient lighting in each room.
  13. Couches and chairs in good to excellent condition.
  14. Adjustable thermostat.
  15. Woodburning Fireplace(s) must have full set of tools.
  16. At least one phone line in unit.
  17. At least one bathroom in unit.
  18. At least one full sized refrigerator in unit.
  19. At least one oven and cooking range in unit.
    Exception - Kitchenettes must have electric griddle and/or electric frying pan, electric kettle and/or coffee maker, electric toaster, microwave and possibly other countertop appliances. Vacation rentals with kitchenettes must provide a barbeque.
    Full Kitchens: Must have set of pots and pans, mixing bowls, serving bowls, ovenware,
    oven mitts, cooking and/or baking utensils, all in good to excellent condition, and enough dish detergent for at least three days. Must have broom and dust pan, mop with bucket, vacuum if the floors are carpeted, and general cleaning supplies.
    All Lodgings: Must have full set of large and small dinner plates, cereal bowls, glasses, mugs or cups and saucers, dining utensils and steak knifes in the amount of 1.5 x
    number of guests.
  20. At least one flashlight in unit, per floor (1 per bedroom recommended).
  21. At least one breakfast or dining table with enough chairs for maximum occupancy.
    (Includes breakfast bar stools.)
  22. One clock radio per bedroom.
  23. Winter access: At least one shovel.
